Importing Visits from .CSV or MS EXCEL

  • Bulk Import: Use the data import feature to transfer all sales representative information from your Excel sheets to Saleszone.

  • Column Alignment: Manually match your columns with the corresponding columns in Saleszone using the dropdown menus and set this as the default for future imports. Click the “Continue” button to review and confirm the accuracy and formatting of the column matches. Column names in your file do not need to match Saleszone column names exactly, but a suitable match must be established. Columns you do not want to import can be marked as ‘Not Matched’. Once all information is correctly matched, click the “Save” button to complete the import.

  • Error Notifications: The program alerts you when there are matching errors or formatting issues and provides examples of the correct format.

These algorithms help create a clean dataset for addresses by removing unnecessary details (such as floor numbers or building names) and focus on geocoding using street names, locations, or postal codes.

  • If geocoding is not possible, SalesZone assists with manual data correction.

Improve territory planning through smart business clustering, taking into account factors such as driving distances, traffic patterns, highways, overpasses, driver location preferences, and overlapping routes. Saleszone offers various methods for creating territories:

 

Create manual regions: Use the polygon drawing tool to interactively draw polygons on the map around order locations to create sales regions for representatives. When defining these regions, the number of visits is taken into account, and overcapacity is displayed interactively within the application. Regions can be imported from Excel files or ERP systems to create an appropriate number of address sets.

Automatic creation of sales territories

A sales territory (or simply sales territory) is a mapped area that helps organizations divide their markets or customer bases into manageable regions. These territories are typically created based on geographic boundaries (such as city districts, zip codes, or regions) or customer data (such as sales volume, potential, visit frequency, etc.).

The primary purpose of creating sales territories is to:

  • Ensure a balanced workload among sales representatives.

  • To reduce travel distance and time.

  • To improve customer coverage and service consistency.

  • To increase sales efficiency by grouping nearby customers together.

  • To provide clear accountability — each representative knows which customers belong to them.

How Does It Work?

Sales territories are typically created using:

  • Geographic clustering algorithms (AI-based Saleszone.ai does this automatically).

  • Optimization criteria, such as:

    • Equal total number of customers per territory

    • Equal sales potential per territory

    • Minimum total travel distance within each territory

    • Balanced visit frequency per representative

Once the territories are defined, each sales representative or team manages all customers in their assigned territory, making planning and route determination much more efficient.

AI-Based Zoning (Modern Approach)

Modern SaaS platforms (such as Saleszone.ai or Dynaroute.ai) can:

  • Automatically cluster customers into regions using algorithms like balanced clustering.

  • Consider traffic data, visit frequency, and workload.

  • Dynamically recalculate regions when new customers are added or removed.

  • Each representative manages their own territory — plans weekly visits, optimizes routes, and tracks performance in real time.

EXAMPLE:

Let's assume you have 250 customers and 5 sales representatives in Istanbul. You can divide Istanbul into 5 regions that are geographically close to each other and balanced in terms of potential, each containing approximately 50 customers. Your sales representatives work 5 days a week and have a weekly visit frequency of 1. Each of the 5 sales representatives will visit 10 customers per day. Each sales representative manages their own region—planning weekly visits, optimizing routes, and tracking performance in real time.

KML Data Import: You can import sales representative regions defined as polygons in KML format into the application in seconds. Users can then assign these predefined regions to sales representatives.

Creating regions using the “sales representative” column in customer visit data:

When you import customer data into the application, the program creates vector polygons from customer locations based on the sales representative names in the sales representative column. Polygons for each sales representative are displayed in different colors on the map.

Frequent visits can be scheduled. Example: If the weekly plan involves visiting some customers once a week, some twice, some three times, or even four times, Saleszone solves this as follows:

Saleszone schedules visits for customers with a weekly visit count of 2 and leaves a 2-day interval between Monday - Thursday or Tuesday - Friday.

For customers with a weekly visit count of 3, it plans visits leaving a 1-day interval between Monday - Wednesday - Friday. For customers with a weekly visit count of 1, it plans visits on any suitable day of the week. Example: Monday. For customers with a weekly visit count of 4, it plans visits on 4 suitable days of the week. Example: Monday, Tuesday, Wednesday, Thursday.

Thanks to Saleszone's real-time data synchronization, you can always incorporate dynamically changing new constraints (number of visits, service time slots, skills, priority, sequence order, customer suitability, etc.) into your pre-planned routes and send all live changes to drivers' mobile devices with the touch of a button.

Visit order is created based on customer segmentation

When creating routes in Saleszone, visit sequences are created based on customer segmentation.

Saleszone determines visit sequences by taking customer segmentation into account. For example: A segmentation: Customers to be visited with 1st priority, B Segmentation: Customers with 2nd priority, C segmentation: Customers to be visited with 3rd priority, D segmentation: Customers to be visited with 4th priority, E segmentation: Customers to be visited with 5th priority. Segmentation can be defined up to 100 levels, such as F, G, H, etc. When creating the visit order for routes, the program looks at these segmentation values and places customers in the A segment first, followed by B, C, D, and so on.

Drag & Drop Feature in Saleszone

  • Saleszone has a drag-and-drop function that allows visits and routes to be managed flexibly.

  • Visits on the map can be interactively selected using the selection polygon and then dragged and dropped into the most suitable location on the timeline or within sales representative routes.

  • Customer locations within sales representative routes, identified by different colors and symbols, can be selected on the map using the “select with polygon” method. These locations can then be removed from the route and, if desired, dragged to the unplanned visits section.

  • Customer locations in the unplanned visits section can be marked with the cursor and then dragged and dropped onto the sales representative routes on the map or within the sales representative route list to the most suitable visit order.

  • The visit order within the sales representative routes on the timeline can be adjusted. Users can use the drag-and-drop method to change the visit order between different sales representative routes or send planned customer visits back to the unplanned visits window.

The order of visits in routes can be changed by using the Drag & Drop method.

You can make changes to visits within routes using 10 different methods.

1) The order of a visit on the same route on the map can be swapped with another visit.

 

2) The order of a visit on a route on the map can be swapped with the order of another visit on the timeline.

 

3) A visit on the map can be sent to any sales representative in the sales representative list.

 

4) The order of a visit on the same route on the timeline can be swapped with the order of another visit on the same route.

 

5) The order of a visit on a route on the timeline can be swapped with the order of another visit on the map.

 

6) The order of a visit on the same route on the timeline can be swapped with the order of another visit on a different route.

 

7) A visit in the Unplanned section can be sent to any visit order on a route on the map.

 

8) A visit on a route on the timeline can be removed from the route and sent to the Unplanned section.

 

9) A visit in the “Unplanned” section can be sent to any visit sequence on a route on the timeline.

 

10) A visit in the “Unplanned” section can be assigned to any sales representative in the sales representative list.

There is Web API integration.

Web Services API & Integration

Businesses can integrate with enterprise resource planning (ERP) platforms, order management systems (OMS), transportation management systems (TMS), or other third-party software using DynaRoute's Web Service Application Programming Interface (API). Some of the platforms DynaRoute integrates with include Microsoft Dynamics, SAP, Salesforce, Encompass Technologies, Oracle Fusion, Oracle NetSuite, Zoho, Zapier, Shopify, and Mark. The DynaRoute API is REST-based and uses the JSON (JavaScript Object Notation) format.
